Alpha Media – San Jose is seeking a full-time Accountant Receivable/ Admin Coordinator to provide admin support to the business department as well as train to be a backup to our traffic and continuity director. The ideal candidate is detail oriented, has excellent organizational, interpersonal and communication skills, and is able to work independently as well as in a team environment.

Responsibilities for this position may include:

  • Daily cash deposit entry – apply cash received to advertiser.
  • Prepare weekly and final month invoices with co-op billing.
  • Perform agency and advertiser credit checks.
  • Ensure the accuracy of monthly invoicing.
  • Daily cash receipts reconciliation.
  • Call on past due accounts.
  • Manage and develop vendor relationships.
  • Process credit card payments and checks.
  • Notarize invoices and scripts.
  • Process and code vendor invoices.
  • Audit and process employee expense reports.
  • Research and respond to any client inquires
  • Prepare monthly commission statements for sales staff.
  • Prepare and reconcile monthly billing at the end of each month
  • Prepare debit/credit adjustments monthly
  • Backup Traffic Director for logs and continuity
  • Assist Business Manager in the completion of assigned tasks to meet company goals.

Requirements of this position may include the following:

  • Bachelor’s degree in Accounting or a related field with a minimum of three years relevant accounting working experience; or the equivalent combination of education and experience.
  • Experience with WideOrbit
  • Able to work both independently and in a team environment with various levels of staff.
  • Proficient in Microsoft Office Software, with a heavy emphasis on Excel and experience with G-Suite platforms
  • Ability to thrive in a fast-paced, rapidly changing culture and environment
  • Excellent verbal and written communication skills.
  • Must be extremely organized, detail oriented, and able to prioritize tasks.
  • Ability to multi-task and handle pressures and deadlines.
  • Proficient in accounts receivable and collection calls.
  • Excellent communication and interpersonal skills.
